Privacy Policy

1. Who We Are

Ledger Essentials is operated by JNG Tax & Advisory LLC (“we,” “us,” “our”). This policy describes how we collect, use, and protect your information when you use our web application and iOS app.

2. Information We Collect

Account Information

When you sign up, we collect your email address, display name, and an optional referral code. If you subscribe to a paid plan, Stripe processes your payment information — we never store your credit card details.

Chat Messages

We store the messages you send and the responses you receive so you can continue conversations across sessions. Messages are associated with your user account and are not shared with other users.

Firm-Sponsored Guest Chats

A participating firm may sponsor a guest chat at a firm-specific Ledger Essentials page. Guest chat messages and assistant replies are processed to provide the service, but the sponsoring firm cannot read message content through its owner dashboard or owner APIs. The firm can see a limited conversion history containing the contact event type, time, amount, and charge or noncharge reason. A booking or phone click may be recorded after a successful reply; the visitor is never charged by Ledger Essentials.

Profile Information

You may optionally provide your business type, industry, and accounting basis to receive more relevant answers. This information is stored in your profile and can be changed at any time.

Usage Data

We collect basic usage data such as message timestamps and response source tags (e.g., whether an answer came from our knowledge base or general knowledge) to improve the quality of our service.

3. How We Use Your Information

• To provide and improve our bookkeeping assistant service
• To maintain your conversation history
• To process payments and manage subscriptions via Stripe
• To send transactional emails (password reset, billing)
• To analyze usage patterns in aggregate and improve answer quality

4. Third-Party Services

We use the following third-party services:

• Supabase — Authentication and database hosting
• OpenAI — Generates chat responses and powers optional voice features. Chat message text is sent to OpenAI for replies. When you dictate, microphone audio is sent for speech-to-text. When you tap Listen, the assistant reply text is sent so OpenAI can return speech audio for playback on your device. Voice and chat data are processed under OpenAI's API data policies (including any retention settings configured for our API account); we do not use consumer ChatGPT for these features.
• Anthropic — Used for Statement Review document extraction. Uploaded documents are sent to Anthropic's API. Anthropic's usage policies apply.
• Stripe — Payment processing. Stripe's privacy policy governs payment data.
• Upstash — Redis used for durable API rate limiting. Rate-limit keys may include opaque user identifiers (not message content or audio).
• Vercel — Application hosting

5. Data Retention

Your account data and chat history are retained for as long as your account is active. If you delete your account, your data will be removed within 30 days. Anonymized, aggregated analytics may be retained indefinitely. Dictation audio is transmitted to OpenAI for transcription and is not stored in our database. Generated Listen audio is streamed to your device for playback and is not retained by us. Retention of voice data by OpenAI is governed by OpenAI's API data policies.

Firm-sponsored guest sessions expire after 24 hours. Guest chat content has a 30-day retention target: a protected cleanup runs daily to delete content that has been stored for 30 days or longer, so deletion is not guaranteed at the exact 30-day instant. Firm owners can also delete their firm's guest chat content. Financial records may remain with a non-PII conversation identifier, but without message content. Short-lived session and abuse-prevention hashes are retained only for their active operating windows.

6. Data Security

We use industry-standard security measures including encrypted connections (TLS), row-level security on our database, and secure authentication. However, no system is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and data
• Export your chat history

8. Children's Privacy

Ledger Essentials is not intended for children under 13. We do not knowingly collect information from children under 13.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by posting a notice in the app. Continued use after changes constitutes acceptance.
